Ankura Temporary Event Manager in Nashville, Tennessee

Ankura is seeking a dynamic and experienced Event Manager to join our team in the Nashville office mid June - November. This role is crucial for ensuring the seamless execution of all events, from initial inquiry and booking to the final takedown. The Event Manager will be responsible for managing a comprehensive events calendar, coordinating with staff, and ensuring our clients have a positive and memorable experience.

This role is temporary, mid-June through November.

Key Responsibilities:

  • Scheduling:

  • Maintain an up-to-date events calendar for the entire year.

  • Manage hourly schedules for staff, ensuring full coverage for all events, including setup and takedown.

  • Bookings:

  • Actively follow up on inquiries to convert them into booked events.

  • Confirm all event details, including catering, room setup, supply needs, and AV requirements.

  • Invoicing (Client / Accounts Receivable):

  • Prepare detailed invoices for clients.

  • Collaborate with Ankura Billing to establish project codes and dispatch invoices.

  • Catering:

  • Maintain and cultivate relationships with local caterers.

  • Responsible for ordering all food services for events.

  • Coordinate with caterers on event days, including the setup and takedown of food stations.

  • Invoicing (Supplier / Accounts Payable):

  • Process supplier invoices in Workday for caterers and other vendors (e.g., linens, support staff, maintenance).

  • Facility Management:

  • Oversee event setup and takedown, including the arrangement of chairs, tables, walls, podiums, flip stands, etc., to meet client needs.

  • Event Support:

  • Serve as Ankura's representative during events, addressing queries, directing guests, facilitating AV, setting up food, and making copies/prints as needed.

  • Business Development/Marketing:

  • Collaborate with Ankura's marketing team to promote the space, follow up on inquiries, and plan business development efforts to attract more bookings.

Qualifications:

  • Proven experience in event management or similar role.

  • Excellent organizational and time management skills.

  • Strong communication and interpersonal abilities.

  • Ability to manage multiple projects simultaneously and under pressure.

  • Knowledge of invoicing and basic financial processes.

  • Familiarity with Workday is a plus.

  • A commitment to providing high-quality service and creating memorable experiences for clients.
